Data Amendment

Changing or removing values

  1. File upload (Excel format or CSV)

    Further file(s) may be uploaded but care should be taken to ensure data already stored in the application is not inadvertently over-written.

    To help avoid accidental deletion of manually entered data, empty cell or rows do not overwrite existing data. To clear a value, see Data entry below. To remove/close an entry, see removing an entry below.

    A copy of the existing data can be downloaded from the data review page, to be amended and uploaded.

  2. Data entry directly into the online interface

    Amend the record by entering new data into the data entry field. To record this new content, click the top Update button. You will see the new data move from data entry to 'This Quarter'.

    To clear 'This Quarter' value altogether, click on the Clear Answer button followed by Update and the 'Further information needed' flag will re-appear.

Values that cannot be changed

There are situations in which updated entries cannot be amended:

  • Identifiers cannot be amended. In the case of OLS Core Functions and OLS Milestones, fields preceding identifier are also frozen. If an identifier is incorrect, the existing entry should be removed/closed and a correct version uploaded or entered.
  • Where a category has been Approved. Should an error be detected, please contact the HIN Informatics team.

Removing an entry

To help avoid accidental deletion of manually entered data, the absence of a row in a file upload does not remove the entry. Instead the entry should be closed or removed through data entry.

When an entry is new this quarter, it can be removed. This action cannot be undone as it will delete all data already entered for that entry.

All entries can be closed. At the end of a quarter, closed projects from previous quarter will be marked as inactive and not updated or reported on anymore. New, closed projects will not be reported.
