Data Upload

Please note that to make changes to the data, you need Contributor permissions. Please see Permissions on the NQDC for more details

  1. When on the Data Upload tab, click the button for the file format you will use.

  2. For the CSV format, complete the top box below the buttons by selecting from the dropdown menu the data category you will be uploading. By default, this is set to the same category as the category selected in the sidebar (green panel).

    • If uploading CSVs for Organisations, Innovations and Projects, they should be uploaded in the respective order to avoid generating the critical issue "Selection not in existing entries" for the Organisation name (in Innovations) and Innovation name (in Projects).
    • If uploading an Excel file, the category will be taken from the tab name. Therefore, please ensure that the tabs are names correctly. If you are uploading a single sheet, you may find it easier to convert it to a CSV then select the category rather than renaming the sheet.
  3. Next, for either file format, enter the number of rows in your file above the first row of data.

    • For Excel format, this number must be the same for each tab.
    • For the data collection template provided, the number of rows is 3. Hence, this is the default value for Excel uploads.
    • For either file format, the column header must contain the correct column names (including the correct capitalisation and spaces, as per the Excel template).
    • If your file has a different number of rows above the data e.g. with information about filters applied, you can adjust this value accordingly.
  4. If uploading OLS KPI data, switch off the toggle field if you are uploading this category data is in long format.

    Long format vs Wide format explanation

    In the Excel template, the OLS KPIs category/tab is in a wide format, as there are many columns and only one row. On the Data Review page, the OLS KPIs category is presented in a long format, with columns for Actual and Business Plan values and a row for each KPI, rather than more columns. If you download the KPI data from the data review page, either as a CSV for just that category or as an excel file, along with the other categories, it will be in the long format. Therefore, if you wish to download the data from data review, amend it, then re-upload it, you will need to deselect the wide format slider to indicate your KPI data is in the long format.

  5. Upload your data file by either:

    • dragging and dropping the file into the area on the page or
    • locating and selecting the file using the Browse files button on the right

    If you upload the wrong file format, for the option selected, you will see an error message requesting you upload the correct file type. You may also see this message if the number of rows you have entered in the box above is too great.

  6. Review data quality feedback. The application will immediately validate your uploaded data against core quality criteria and summarise the results in 3 tables:

    • Critical issues – which require resolution before the content can be updated
    • Missing flags – for your information
    • Other Warning notices – for your information

    View Critical Issues, Missing Flags and Warning Notices to see details of all these checks with an explanation and suggested action.

    For each table it may be necessary to scroll down to see all entries. If the field is not large enough to show all the content, click twice in the field and it will expand. The tables can also be opened in full screen mode or downloaded, if needed, by hovering over the table and using the menu that appears on the top right-hand side.

    Note that the application does not provide proof reading checks.

  7. To view a summary of all uploaded data, click on the arrow to the right of All your upload.

  8. If your upload requires amendment, for example, to resolve a Critical issue, you can amend your file and repeat the upload process. A repeat upload removes any previous data.

  9. Update the application

    Once Critical issues have been resolved, the top Update button will be activated.

    To enter the data into the application, click the Update button.

    It may take a few moments for your data to update. During this time you will see a spinner and the message "Your data is updating ... Please Wait". Once it is complete you will briefly see the message "Data Updated Successfully!", then you will no longer see you file listed under the file upload area. While this process occurs please leave to application to run and avoid clicking any other buttons.

    Your data upload is now saved and available to view in the other tabs and by other members of your HIN. You may now sign out if you have finished with the application for now.

Other points to note:

  • It is not necessary to upload all tabs in the Excel template at the same time.
  • Empty tabs have no effect on existing uploads or updates.
  • If any columns are added into the data collection template from the left-hand side, this will disrupt the built in macros and cause a critical issue. Ensure any additional columns used for local completion are only added to the end/right of any tab on the template.
  • Where fresh data is uploaded and updated, it will overwrite any existing data.
  • If a category has already been Approved, attempts to upload fresh data will cause an error.
  • If you have finished reviewing the feedback, but do not wish to save the data using the Update button at this time, use the cross next to the uploaded file to remove it. This means the application won't recheck your file when you interact with the rest of the application.
